This guide covers Acrobat Reader on Windows and macOS. The goal is a readable completed file; that does not confirm delivery to an authority or company.
Step by step
- Download the form from its intended source. Keep the blank original and open the working file directly in Reader rather than only in a browser preview. Check whether the issuer requires a particular application or submission method.
- Click an intended entry field. Interactive fields accept input directly; Tab moves to the next field. For a flat form, Fill & Sign can add text if the document and required workflow allow it. This does not create interactive form fields.
- Enter a few details first. Choose Save As from the menu and use a new name, such as application-completed.pdf. Check the actual folder. Do not confuse a PDF with a form-data-only export.
- Close the saved working file and reopen that exact file from its folder. Compare entries, ticks, special characters and multiline fields. Only after this test succeeds should you complete the remaining fields and save and reopen again.
- Review every page before sending. A required portal or submission button is a separate step. Keep its receipt separately from the saved PDF.
Check the result
The file must reopen with every expected entry. Blank fields on reopening are not success. Record the application version, form source and affected fields and ask the issuer for a suitable form.
Limitations and preserving the original
Do not overwrite the original or disable protection to bypass saving restrictions. Print to PDF is not equivalent: interactivity and signatures may be lost. Keep an unsigned working copy before signing; later editing can be restricted.
