iPad files: distinguish On My iPad from iCloud Drive

A file appears in Recents but will not open while traveling? Files displays several storage locations in one interface. What matters is not where you last saw the file, but which location actually contains it. This guide follows iPadOS 26; labels may differ in older versions.

Identify the location

Open Files and show the sidebar or Browse. Deliberately choose a location:

  • On My iPad: files stored locally on this device. Signing in to your Apple Account does not by itself turn them into iCloud Drive files.
  • iCloud Drive: files in synchronized cloud storage. A file may also be downloaded onto the iPad, but remains part of iCloud Drive.
  • Other providers or external drives: such as OneDrive or a USB drive. The storage and synchronization rules of that provider or medium apply.

Open the relevant folder directly from its location. Recents, favorites and search results are views, not separate storage locations. Your photo library is in Photos; an image file saved in Files is distinct from it.

Create a test copy instead of moving

  1. Choose a small, noncritical file. Note its source folder and name. For iCloud Drive, wait for the download and open the file online first.
  2. Touch and hold the file and choose Copy, not Move. Open a writable test folder in the other location you want, touch and hold an empty area and choose Paste.
  3. If asked about an existing name, do not overwrite: use a new test folder or a unique name. If local storage is unavailable, do not substitute an arbitrary location or delete an app; first check the available local app folders.
  4. Open the copy directly in the destination folder. Check content and filename, and confirm that the original remains unchanged in the source folder.

Check offline availability correctly

A needed iCloud file must finish downloading. Then test the file without Wi-Fi or a cellular connection and reopen it from its folder; restore your connections afterward. This confirms availability at that moment, not a permanent independent backup. A cloud file can still receive synchronized changes and deletions.

Remove Download is not Delete

For a downloaded iCloud Drive file, Remove Download removes the local copy while leaving the file in iCloud Drive. Delete instead removes it from iCloud Drive and therefore from devices synchronized with the same account. Deleted files can normally be recovered from Recently Deleted for up to 30 days; files permanently removed there cannot. Do not test this distinction on important originals.

Back up important files elsewhere too

A copy under On My iPad is independent of later changes to the original iCloud file, but is still on the same device. It does not cover device loss or local data loss. Make an additional verified backup in a suitable different location. A visible cloud filename alone proves neither a complete download nor a successful backup.
