Outlook 2007: check calendar exports for date range, recurrence and time zones

An exported calendar file is a snapshot, not ongoing synchronization. This guide checks an existing export from an Outlook 2007 installation before transfer. It does not assume that modern export menus exist in old Outlook. Back up the original data and keep the export unchanged.

Record the scope

Record the source calendar, export date, selected date range, detail level, format and destination application. An export of the next few weeks does not contain the full past. Account for multiple calendars separately. Microsoft explicitly describes date range and detail level as export options; inspect the actual content rather than just the filename.

Import into a test calendar

Start with an empty, separate test calendar. In Google Calendar on a computer, Settings, Import & export lets you select an ICS or CSV file. Explicitly select the test calendar as the destination; the primary calendar may be selected by default. Upload private or business event data only to an account intended for that purpose.

Record the import message. Do not repeat an import blindly: Google explains that a second attempt may report zero new events even when the first succeeded. Inspect the result first. For partial imports, resolve the rejected entries before declaring the collection complete.

Compare representative events

  1. Compare an old and a future single event: date, start, end, location and description.
  2. Check all-day and multiday events for the correct dates.
  3. Compare a recurring series, including rescheduled or omitted occurrences. CSV transfers may represent recurrence as single events, so do not compare counts alone.
  4. Check times before and after a daylight-saving transition, plus an event in another time zone. If times shift, resolve source and destination time zones first rather than moving all events indiscriminately.

Document the limitations

Google states that guests and conference data are not imported. A visible event is therefore not proof that meeting management works. Also check required reminders and private markings in the destination without sending invitations.

Record missing information and differences. Transfer the full collection to the intended calendar only after successful comparison. Retain originals and backups until acceptance. Later changes to the old calendar will not automatically appear in the new one through this file import.
